How to change the Mail Count Display

Outlook 2016 2013 2010 2007 2003
When you receive new messages, mark messages as unread or move them. The folder where the message is placed will be highlighted in bold in the folders panel, and a counter will appear next to it. In this counter, Outlook can display either the number of unread emails or the total number of emails.

For example:

  • The number of unread emails in bold:
Number of Unread email messages in Outlook 365
  • The total number of emails displayed in square brackets:
Total email messages in Outlook 365

Note: Outlook does not automatically aggregate the total number of all or unread items in subfolders. So, if the subfolder structure is collapsed (in this example, SAP project), then you see the number of messages (unread or total) located only in the current folder, excluding subfolders:

To choose which number you want to be displayed, do the following:

   1.   Right-click the folder and select Properties... in the popup menu:

Properties in the popup menu Outlook 365

   2.   From the folder's *** Properties dialog box, you can choose one of the following options:

Folder Properties in Outlook 365
  • Show number of unread items
  • Show total number of items

   3.   Click OK.
